SF Bay Rental Co. ("SF Bay Rental Co.," "we," "us," or "our") is a residential leasing and relocation real estate brokerage serving the San Francisco Bay Area. We respect your privacy, and this Privacy Policy explains what personal information we collect when you visit sfbayrentalco.com (the "Site") or contact us, how we use and share that information, and the choices and rights you have.
This Policy applies to personal information we collect through the Site, through the forms and inquiries you submit, and through your communications with us. It does not apply to the practices of third parties we do not control. By using the Site or submitting information to us, you acknowledge the practices described here.
Information You Provide to Us
We collect the information you choose to give us when you fill out a form, request a tour, ask about a property, ask us to represent or lease your property, or otherwise contact us. Depending on which form you use, this may include:
- Contact and inquiry details: your name (first and last), email address, phone number, what you are looking to do (for example, renting, relocating, or listing a property), and the contents of your message.
- Property owner and listing details: the address of a property you want us to lease or represent, the property type, number of bedrooms and bathrooms, and a target rent.
- Tenant inquiry and pre-qualification details: your desired move-in date, parking needs, desired number of bedrooms and bathrooms, maximum rent or budget, number of additional occupants, information about pets or assistance and service animals, and financial pre-qualification information such as stated monthly income and credit score range.
- Marketing and list preferences: if you sign up to receive listings, updates, or other email communications, we collect the email address and any preferences you provide for that purpose.
- Any other information you voluntarily include in a message, attachment, or communication with us.
A Note on Sensitive Information
Some of the information requested on our pre-qualification and tenant inquiry forms, such as income, credit score range, and references to assistance or service animals, can relate to your financial circumstances or, in some cases, may touch on disability-related matters. We collect this information only to evaluate rental inquiries, match you with suitable properties, and provide our leasing and relocation services. We do not use this information to infer characteristics about you, and we ask that you not send us highly sensitive details (such as government identification numbers or full financial account numbers) through the Site's general forms.
Information We Collect Automatically
When you visit the Site, we and our service providers automatically collect limited technical and usage information so we can understand how the Site is used and keep it working and secure. This may include:
- Device and connection data, such as your browser type, general device category (for example, mobile, tablet, or desktop), and your internet protocol (IP) address.
- Approximate, coarse location derived from your IP address, such as country, region or state, and city. We do not collect precise GPS location.
- Usage data, such as the pages and property listings you view, the site that referred you to us, and the date and time of your visit.
- Log and security information generated by our hosting and infrastructure providers in the ordinary course of operating the Site.
How We Use Your Information
We use the information we collect for the following business purposes:

Categories of Personal Information We Collect
For purposes of the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the "CCPA"), in the past twelve months we may have collected the following categories of personal information. We collect each category from you directly or automatically as described above, use it for the business purposes described above, and disclose it to the categories of service providers listed above for business purposes.
- Identifiers, such as your name, email address, phone number, and IP address.
- Personal records described in California Civil Code Section 1798.80, such as your phone number, a property address you provide, and financial details you share for pre-qualification.
- Commercial information, such as the properties and services you inquire about and your stated preferences.
- Internet or other electronic network activity, such as the pages and listings you view and how you reached the Site.
- Geolocation data, limited to coarse, approximate location (such as city, region, and country) derived from your IP address.
- Professional or financial information, such as stated monthly income, credit score range, budget, and target rent.
- Sensitive personal information, only to the limited extent that pre-qualification or assistance-animal details you provide relate to your financial standing or disability. We use this information solely to provide the services you request and not for any purpose that would give rise to the right to limit its use.
- Inferences are generally not drawn; we do not build advertising profiles about you.
Your California Privacy Rights
If you are a California resident, the CCPA gives you the following rights, subject to certain exceptions:
- Right to know and access: You may request the categories and specific pieces of personal information we have collected about you, the sources, the business purposes for collecting it, and the categories of third parties to whom we disclose it.
- Right to delete: You may request that we delete personal information we collected from you.
- Right to correct: You may request that we correct inaccurate personal information we maintain about you.
- Right to opt out of sale or sharing: We do not sell or share your personal information as defined under the CCPA, so there is nothing to opt out of, but you may still submit a request and we will confirm our practices.
- Right to limit use of sensitive personal information: We use sensitive personal information only as needed to provide the services you request, which does not trigger the right to limit; you may still contact us with questions.
- Right to non-discrimination: We will not discriminate or retaliate against you for exercising any of your privacy rights.
How to Exercise Your Rights

To protect your information, we will take reasonable steps to verify your identity before responding, which may include asking you to confirm details that match the information we already hold, such as the email address or other information associated with your inquiry. We will not use information you provide for verification for any other purpose.
You may use an authorized agent to submit a request on your behalf, in which case we may require proof of the agent's authorization and verification of your identity. We will respond to verifiable requests within the timeframes required by law.
California's "Shine the Light" law (California Civil Code Section 1798.83) allows California residents to request information about a business's disclosure of personal information to third parties for those third parties' own direct marketing purposes. We do not disclose your personal information to third parties for their own direct marketing, so this typically does not apply, but you may contact us with any Shine the Light request.
Data Retention
We keep personal information for as long as needed to fulfill the purposes described in this Policy, including responding to your inquiry, providing leasing and relocation services, maintaining business and transaction records, and meeting our legal, regulatory, tax, and recordkeeping obligations. Retention periods vary depending on the type of information and the reason we hold it. When information is no longer needed, we take reasonable steps to delete or de-identify it. Aggregated and de-identified usage data may be retained for analytics.
Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect the personal information we collect against loss, misuse, and unauthorized access, disclosure, alteration, and destruction. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You share information with us at your own risk, and you should take care not to transmit highly sensitive information through unsecured channels.
Children's Privacy
The Site is intended for adults and is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will take reasonable steps to delete it.
